Separation, categories that mean something, the 30-minute weekly rhythm, and the three mistakes that cost the most.
Business checking for every dollar in and out; business credit card for recurring costs, paid in full monthly. Without separation you can’t know revenue, expenses, or margin — and your accountant bills you to untangle it. (Full setup guide here.)
One “sales” bucket tells you nothing. Separate recurring maintenance from installs and from specialty work — different margins, different decisions. On the expense side, give fuel, equipment, materials, subs, vehicles, insurance, marketing, software, and professional services their own lines. Categories are what turn transactions into deductions captured and decisions made.
Weekly: verify the auto-categorized, flag the weird, move on. Monthly: reconcile every account to the penny and read the P&L. Weekly minutes are always cheaper than January archaeology.
Clean books aren’t a tax document — they’re the dashboard you run the business from. If yours need a rescue, that’s literally what our plans do.
